How to Create a Practical Plan for Your Practice

- The patient journey: Where people are emotionally and mentally when they decide to look for a clinic or provider to address a problem.
- Market research: What your patients want, what their pain points are, and what gaps/opportunities exist in your local healthcare landscape.
Now itโs time to bring everything together into something concrete: A simple, practical plan you can actually useโฆ not one that sits untouched on your shelf or computer.
And donโt worry, Iโm not talking about creating a 30-page formal business plan with charts, financial projections, and detailed marketing plans.
This is about helping you think clearly about your practice, your goals, and how you can use AI to help you streamline and strengthen your planning.
Why You Need a Plan (Even If Youโve Been in Practice for Years)
Hereโs why every practice, at any stage, benefits from a plan.
Without a plan, the business tends to drift.
What happens is you start:
- Chasing ideas without first validating them
- Reacting to perceived problems
- Feeling like youโre running in circles
However, with a plan, you gain:
- Clarity about what matters in your business
- Focus on what moves the needle
- Direction for your daily decisions, and
- Confidence when investing your time or money
A good plan acts like a roadmap. It gives you direction and helps you stay focused on what matters, without getting sidetracked by attractions or side roads.
Start with Your Vision: Where Are You Trying to Go?
Before diving into goals or strategies, take a moment to reflect:
- What do you want your practice to look like in one year?
- What is most important to you: growth, simplicity, stability, or something else?
- What kind of patients do you want to work with?
- What type of practice do you want to run? Easy-going? Fast-paced? Boutique? Functional? Family-oriented?
- How does your practice fit into your personal life?

Take your answers from above and incorporate them in this prompt:

AI wonโt tell you what your practice should beโฆ however, it will help you clarify and articulate what you already know deep down.
Identify Three Priorities That Will Move Your Practice Forward
Donโt make the mistake of trying to do everything all at once.
Instead, choose just a few priorities that will become the backbone of your plan.
Some examples of priorities you could focus on include:
- Improve our patient retention
- Increase our online visibility
- Streamline our workflow and reduce inefficiency
- Add a new service or revenue stream to the practice
- Fine-tune our patient communication and education
- Strengthen and improve our financial systems
Use AI to clarify and organize your goals
Give AI your rough ideas, and let it help you refine themโฆ

Often, the AI returns ideas, suggestions, and possibilities youโve never even considered, and vague ideas suddenly become doable.

In Part One of this series, you discovered how patients move through their journey of seeking care, while Part Two uncovered what they really want and expect from a practice.
Now, use the insights you’ve gained to help you decide how best to move forward.
For example:
- If prospects (your potential patients) in the awareness stage feel confused, create simple educational content that helps them understand how your practice can help them.
- If your ideal patient searches online but your site doesnโt show up, focus on strengthening your SEO or Google Business profile to attract more visitors to your site.
- If you notice your competitors lack emotional connection in their marketing, emphasize that empathy and patient experience are essential in your practice.
- If patients hesitate to work with you because they don’t know what to expect, explain and clarify your process on your website and during phone calls.
Ask AI for Strategic Options
You can ask the AI to help you generate ideas, say:
โGiven what I know about my patients, list five simple strategies my clinic could use to attract and retain more aligned patients.โ
Or:
โHelp me brainstorm three marketing ideas that match the needs of patients in the awareness stage.โ
Remember to provide the AI context for what youโre trying to accomplish. Let AI be your thinking partner and help you explore new options and possibilities.
Break Your Plan into Simple, Manageable Steps
Unfortunately, this is where most plans fizzle out.
People spend a lot of time defining and outlining their goals, but fail to make them actionable.

Break the Year into Quarters
Limit your attention to one quarter at a time and choose ONE primary focus.
Not two or three, just one!

- Quarter 2: Launch one new service
- Quarter 3: Improve our billing systems

Measure What Matters (Not Everything You Could)
Why track your results?
Because whatโs measured gets done, gets improved.
And tracking results doesnโt have to be complicated ifโฆ
You choose a few critical metrics that align with your goals, such as:

- The increase in website traffic compared to the prior quarter
